The checklist

  • Do they ask about your business before talking features? Watch for teams that sell screens instead of outcomes.
  • Can they show relevant work — and explain what they would do differently now?
  • Who does the work? Ask whether it is in-house, outsourced, or subcontracted.
  • How do they handle scope changes? Fixed-price vendors are not all equal.
  • What is the testing and launch process? QA is where most budgets blow up.
  • Do they offer support after launch? A project without maintenance is a liability.
  • Can they speak your language — literally and technically?
  • What happens to your code and data if you part ways?
  • Is there a clear communication cadence and a named project contact?
  • Will they tell you when you do not need them? The best advice is sometimes “don’t build this yet”.

Red flags

Avoid teams that guarantee impossible timelines, refuse to discuss ownership, outsource silently, or quote a fixed price before understanding the scope. These lead to the most common horror stories.
